Royal HaskoningDHV is dedicated to safeguarding your privacy and diligently processes your personal data in compliance with applicable Privacy and Data Protection legislation. We adhere to relevant legal requirements and, depending on the location of the vacancy, process your personal data in accordance with local regulations such as the EU and UK General Data Protection Regulation, the Philippines Data Privacy Act, Thailand's Personal Data Protection Act, Indonesia's Personal Data Protection Law, Vietnam's Personal Data Protection Decree, the Australian Privacy Act, and India's Digital Personal Data Protection Act. This privacy notification aims to inform you about the reasons for processing your personal data. 

1. Who are we?

We are Koninklijke HaskoningDHV Groep B.V. (hereinafter referred to as Royal HaskoningDHV) i and our headquarters is located at Laan 1914 no 35, 3818 EX Amersfoort, The Netherlands. We are the data controller of your personal data. 

2. Why do we process your personal data?

Royal HaskoningDHV processes personal data to fairly evaluate all incoming applicants and interested jobseekers using a standardised application format, process, and information. The data is organised within a cloud-based applicant tracking system, which structures the information to facilitate efficient candidate assessment and ensure equality (the 'purpose'). 

The applicant tracking system is a cloud-based software application that enables the electronic handling of recruitment and hiring needs. We use this system to receive your personal information and documents (example resumes) and to store your personal data relating to specific vacancies or other recruitment related activities. The system allows you to view, edit and delete your personal data. We also use this system to keep your data in one secured environment. If the offer process is started your personal data will be processed in our secured global HR and other systems.

The reason we are allowed to process your personal data, is because Royal HaskoningDHV has a legitimate interest, and the processing of your personal data (Royal HaskoningDHV’s interest) is balanced against your interests and rights. Royal HaskoningDHV in principle does not request or process special categories personal data such as race or ethnicity during the recruitment process, however, this may be required by specific local country legislation and in such cases Royal HaskoningDHV has a legal obligation to do so. If you voluntary provide personal data that may be considered sensitive (special categories) you provide this freely and intentionally, and you consent to Royal HaskoningDHV processing this data. Once we start the employment process your personal data is processed because we have a contract with you. Only the personal data that is strictly necessary, will be processed.

We only use your personal data for this purpose. Your personal data is only available to employees of Royal HaskoningDHV and only to those persons who have a need to know. Only when we have a legal obligation to share your personal data, will we share your personal data with a third party. In such a case, we will ensure that your personal data is processed in accordance with privacy laws and regulations and kept secure.

3. What kind of personal data do we need?

We typically process the following personal data based on legitimate interest, but this may differ dependent upon your country location: 

Full name
Telephone numbers
Email addresses
Address

Curriculum Vitae / Resume
Motivation letter (optional)
Right to work (Work VISA or Permit)

Country
Language preferences
Equality, Diversity, and Inclusion data
(explicit consent and completely voluntary (UK))

We receive this personal data directly from you. 

4. How do we protect your personal data?

The processing of personal data takes place exclusively in the country where you applied, although (by so-called cloud storage) your personal data might be stored on servers outside this country. We have policies on information security, data protection, privacy, and confidentiality. We have procedures in place that ensure that your personal data is adequately protected in accordance with the applicable legislation and standards and care for the effective and safe processing of personal data. Royal HaskoningDHV is making use of Cornerstone TalentLink for this purpose. In case of a data breach, we will inform you and the appropriate authorities within 72 hours after detection.

5. How long will we keep your personal data?

Royal HaskoningDHV processes your personal data for no longer than needed to fulfil the purpose and will proceed to delete your personal data one year from your last application; this is to enable Royal HaskoningDHV to give you a fair opportunity to apply for various vacancies and not having to continuously re-enter your data. This also allows Royal HaskoningDHV to maintain a pool of potential candidates for future vacancies. You are at all times in control of your data via the applicant tracking system and you can update or delete you profile at any time. Deleting you profile will also remove your personal data from the applicant tracking system and Royal HaskoningDHV will no longer process your data.

6. What are your rights?

Depending on the location of the vacancy and relevant data privacy legislation you may have the following rights, some of these rights are not exclusive and may depend on various circumstances. Not all these rights are applicable to this purpose. 

  • The right to be informed
  • The right of rectification
  • The right to restrict processing
  • The right of access
  • The right to erase your personal data
  • The right to data portability
