Support office compliance to QSHE system requirements o Keep Quality Management office records (Physical and Electronic)
Assist Facilities Management Coordinator with planning and execution of evacuation drills in the local office
Assist with organizing SHE Representatives appointments and training (First Aiders, Fire Marshals etc.)
Ensure that office Emergency and Fire equipment is compliant to legal requirements
Attend SHE meetings and keep minutes
Act as the Deputy Incident Marshal/ officer for local office

Ensure office cleanliness and maintain healthy office environment
Maintain and verify QSHE set office hygiene standards
Verify that office cleaning activities are performed in line with requirements
Coordinate daily compliance to waste management legal requirements
Coordinate and manage cleaning contractor activities

Ensure continual and routine office facilities maintenance
Verify and confirm that all planned maintenance activities are performed
Ensure that maintenance activities that are the responsibility of the landlord are performed
Escalate facility issues that need the landlord’s attention
Issue working certificates and supervise maintenance contractors that are onsite
Fix and repair minor facility faults that do not require accredited professionals
Inspect and test different systems to ensure compliance with safety regulations
Store maintenance assets; technical stock and parts in line with regulations
Maintain Personal Protective Equipment in line with specifications and regulations
Keep up to date with latest safety, health and environmental regulations and update skills in line with updated equipment and systems; as well as regulations around HVAC requirements
Keep up to date with policies and procedures for installing, maintaining and repairing HVAC equipment or machinery; as well as revised testing or installation procedures, and align practices.
Verify that office alarms are in functional and working order and act on faults
Verify that office access control systems are in working order and act on faults
Ensure that the office doors and windows are properly locked and closed daily
Check in with services office for scheduled jobs after the completion of each job and at the end of each work day.
Responsible for time management of jobs scheduled each day.
Prepare necessary tools and PPE for the day ahead.
Respond to requests relating to various equipment and systems installations, repairs and upgrades in line with scheduled repairs and preventative maintenance plans.
Conduct investigations and diagnose system or equipment faults.

Troubleshoot and complete routine and light repairs in line with identified faults.
Inspect and audit supplies, machinery and systems and address any risk areas
Assist tradespeople with electrical, plumbing or HVAC repairs
Complete minor electrical repairs and maintenance: light bulbs, wiring, circuit breakers, fuses
Perform general carpentry construction and installation repairs: woodwork, sanding, painting, build cabinets, etc.
Perform general plumbing activities: Toilets, faucets, fix leaks, etc.
Conduct facility and infrastructure repairs: doors, doorknobs, locks, broken tiles, polish floors, staining, pressure washing, roofing and windows
Conduct check-ups on systems and perform any preventative maintenance, escalating the need for any major repairs
Adjust system settings and conduct performance tests using specialized tools.
Keep management up to date and feedback on status and challenges with regards repairs and installations.

Participation in other Facilities Management (FM) team activities
Participate in FM knowledge sharing sessions
Participate FM audit activities
Stand in for other FM team members when requested
Assist with office reception duties as and when necessary
Assist with office logistics management, deliveries and driving duties

Minimum qualifications, skills and experience:
A minimum of 2 years in facilities repairs, maintenance and installations
Computer literacy in MS Office
Valid driver’s licence
An FET college N6 qualification or equivalent in the following trades will be an added advantage
