We are currently looking for a Part Time Receptionist to join our Edinburgh office.  You will manage reception, meeting and greeting clients and being the first point of contact for the Edinburgh office. You will provide secretarial and facilities support to local business lines and project support to the Facilities Office Manager.

We are currently looking for a Part Time Receptionist to join our Edinburgh office.  You will manage reception, meeting and greeting clients and being the first point of contact for the Edinburgh office. Main Duties and Responsibilities:

  • Receptionist/front of house meeter and greeter, dealing with visitors to the office whilst always adhering to site security procedures and managing card access system locally.
  • Assist in the preparation of meeting rooms including ICT elements, hospitality provisions and refreshmentsMake travel arrangements such as flights, hotels and car hire.
  • Co-ordinate and carry out day to day running of Peterborough print, courier and postal services
  • Maintenance of core stationery supplies including ordering stock and other site service supplied
  • Proactive approach to facilities, maintaining excellent customer service levels to both internal and external clients
  • Take appropriate remedial action for plumbing, electrics failures and site facilities breakdownsLog call outs with contractors and liaise with and supervise contractors working on-site as requiredSupport the
  • Facilities Office Manager on site and deputise in their absence
  • Maintain office services records using electronic filing system
  • Administer Company Car Duty of Care
  • Assist the office Quality Management Co-ordinator with their duties for the London and Peterborough teams, in line with ISO 9001-2008 (Quality Assurance) and ISO 14001 2004 (Environmental Management) standards
  • Deputy Incident Marshall / Fire Marshal
  • Responsible for general administration to include:
  • Assisting senior members of staff when required
  • Be part of a pool of secretaries providing all aspects of admin support to technical staff.
  • Liaise with other support staff within other offices as required.Regularly update CVS, PRS and CRM for the designated staff.

Qualifications and Experience: Direct Reception experience

  • Experience of working within an office environment
  • Excellent organisational and prioritisation skills
  • Excellent MS Office skills to include Word, Excel and Outlook
  • Robust communication skills (both written and verbal)
  • Able to perform as part of a team and individually
